Deacon Recruiting seeks an energetic, technically savvy Office Administrator for a highly visible position in our North San Antonio Office.

Job Description:

Provide administrative support to ensure optimum coordination of resources, timely, accurate, and professional communication, and quality results.

  • Manage the daily calendar of CEO and Director in a way that balances meetings and reflective work.
  • Schedule meetings and confirm attendees, purpose, and location.
  • Maintain entry of new contacts in Outlook and database, ensuring proper classification.
  • Distribute, review, and maintain communications and respond to general inquiries.
  • Assist in the completion of reports, proposals, and contracts.
  • Conduct research and facilitate solutions for daily issues
  • Monitor status on current projects.
  • Prioritize, manage, and implement projects and events with flexibility to accommodate emerging issues.
  • Manage all travel arrangements.
  • Coordinate interviews for internal positions with leadership and maintain candidate file for CEO.
  • Prepare new employment training schedules for CEO to review.
  • Coordinate trade show participation and promotional plans.
  • Assist in maintenance of website and marketing materials.
  • Prepare decorations, coordinate catering, and prepare handouts for monthly Company meeting.

2. Create and maintain records to result in effective storage and retrieval of information.

  • Maintain agendas of upcoming meetings for quick reference and preparation.
  • Record meeting minutes, summarize action items, and distribute to responsible parties.
  • Provide confidential administration duties for the company and coordinate with Operations to ensure effective and efficient implementation of processes and procedures.

3. Act as project manager for Deacon Real and assist in resolving daily building issues.
