Title: Receptionist | Office Services Coordinator
Job Description:
- Ensures knowledge of staff whereabouts and maintains accurate and complete sign-in/sign-out procedures for on-site staff and visitor.
- Prepares and processes outgoing mail, courier services, and FedEx
- As requested, coordinates meeting rooms and catering services.
- Researches, negotiates and secures accommodations for out-of-town visitors and guests.
- Keeps immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor.
- Maintains confidentiality of organization fiscal and personnel related information.
- Performs routine office tasks necessary for the operation and presentation of a professional office as observed by the supervisor.
- Assists with clerical tasks to include typing, filing, proofreading, and maintenance of service logs and data entry.
- Orders office supplies as requested by departments and reconciles purchases with accounting codes.
- Assists with travel and/or hotel arrangements for Division Staff as requested.
Experience:
- A minimum of 3-5 years in an equivalent or similar working environment
- Must be able to effectively manage a multi-line phone system
- Customer Service experience is preferable
- Knowledge, Skills, and Abilities:
- Able to manage time and prioritize responsibilities effectively
- Able to work on multiple concurrent tasks with constant interruptions
- Able to monitor and manage office and/or break room inventory
- Ability to work cooperatively with a wide range of personalities
- Demonstrate a dynamic personality and positive attitude with co-workers and customers
- Excellent interpersonal, written, and oral communications
- Bilingual in Spanish preferred
- Knowledge of Microsoft Office software
Compensation: $30,000 plus benefits on first day! (including vision, dental, medical, life ins. and 401K options)
