Title: Receptionist | Office Services Coordinator

 

Job Description:

  • Ensures knowledge of staff whereabouts and maintains accurate and complete sign-in/sign-out procedures for on-site staff and visitor.
  • Prepares and processes outgoing mail, courier services, and FedEx
  • As requested, coordinates meeting rooms and catering services.
  • Researches, negotiates and secures accommodations for out-of-town visitors and guests.
  • Keeps immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor.
  • Maintains confidentiality of organization fiscal and personnel related information.
  • Performs routine office tasks necessary for the operation and presentation of a professional office as observed by the supervisor.
  • Assists with clerical tasks to include typing, filing, proofreading, and maintenance of service logs and data entry.
  • Orders office supplies as requested by departments and reconciles purchases with accounting codes.
  • Assists with travel and/or hotel arrangements for Division Staff as requested.

Experience:

  • A minimum of 3-5 years in an equivalent or similar working environment
  • Must be able to effectively manage a multi-line phone system
  • Customer Service experience is preferable
  • Knowledge, Skills, and Abilities:
  • Able to manage time and prioritize responsibilities effectively
  • Able to work on multiple concurrent tasks with constant interruptions
  • Able to monitor and manage office and/or break room inventory
  • Ability to work cooperatively with a wide range of personalities
  • Demonstrate a dynamic personality and positive attitude with co-workers and customers
  • Excellent interpersonal, written, and oral communications
  • Bilingual in Spanish preferred
  • Knowledge of Microsoft Office software

Compensation: $30,000 plus benefits on first day! (including vision, dental, medical, life ins. and 401K options)
